Otto compared with CollectMax

CollectMax is JST's installed collections platform for law firms and agencies. Its own published materials describe a Windows server running Advantage Database Server, workstations with Word or WordPerfect installed, and reporting through a separate SQL data set. Otto is a hosted system whose rules refuse an action at the moment it is attempted.

How this comparison is sourced

Everything attributed to CollectMax below is quoted from JST's own published pages: the CollectMax Features & Benefits page and the CollectMax System Requirements document published in their downloads directory, both accessed 25 July 2026 and both linked in full below. Nothing is sourced from a sales conversation, a review site or a customer anecdote. Where CollectMax does something we do not, that is stated. Where their page is silent, this page says it is silent rather than treating silence as a missing feature.

What CollectMax says it does about compliance

Their compliance section is specific, and several of the controls are good ones. "MaxSecurity tracks every user who accesses an account, provides audit reports and addresses PCI compliance standards." "Accounts can be locked from view to allow only access by a supervisor until unlocked." "Sensitive data such as consumer account numbers or SSN's can be masked from the user's view to meet compliance requirements." "Disabling the print button or requiring a password prior to printing provides an extra level of security against producing hard copies of data." Document generation is suppressed "for accounts that have a Do Not Contact flag, a defending attorney or are in bankruptcy", and "MaxPlans assure that the proper documents are generated for each account right on schedule". There is also "An integrated complaint and dispute tracking system" for logging consumer and regulator complaints.

The control on that page we think is better than ours

This one: "To prevent a common mistake, the consumer's phone number is not viewable when it is not within allowable time call parameters." Otto blocks the act — the dial is refused and the refusal names the rule and the time the next attempt becomes permissible. CollectMax removes the temptation, which is a stronger pattern, because a control the user never has to resist does not depend on the user. We have not built it, we think it is the right idea, and we would rather say so here than pretend the comparison runs one way. TODO: confirm whether hiding the number outside permitted hours is on the roadmap before this page is cleared.

The architecture, from JST's own system requirements

Their requirements document is precise about deployment. "A third-party software license called Advantage Database Server (ADS) is required to be installed on your server in order to run CollectMax across your network." Windows Server 2016, 2019 or 2022 are supported as dedicated servers; "Only Windows networking options are supported"; "Wide Area Network (WAN) configurations are not supported", with Citrix and Microsoft Remote Desktop Services "recommended for those customers requiring an application server environment". Each workstation needs "Microsoft Word 2016, 2019, and 2021 … or Corel WordPerfect 2020 and 2021" installed. The document also asks the firm to run a daily backup to removable media — "A minimum of five sets of removable backup media, one for each day of the work week, is suggested" and "Backups should not be performed while users have CollectMax running" — and requires a UPS on the server. Otto is reached in a browser and the equivalent operational duties sit with us. Neither arrangement is automatically better; they allocate the same responsibilities to different people, and a bank client with a data-residency requirement may prefer the first.

Where the reporting lives

Inside the application, CollectMax reports are generated directly. Outside it, JST describes SmartData: "a secondary MS-SQL data set that is updated incrementally so building it daily will be quick and easy", which "can be read and queried by the Customer to be used for reporting and other data needs outside of CollectMax", and which "is also the foundation for Provana's IPA (IPERFORM Analytics) integration", requiring a separate agreement with Provana and an MS-SQL license from 2016 or later. The practical difference is freshness and location: a queryable copy that is built on a schedule, versus reading the live record. Which matters depends entirely on what your clients ask you for and how often.

Price, as each vendor publishes it

JST publishes a starting price: "JST offers monthly subscription programs starting at $300 a month", alongside the observation that "The total cost of collections software is more than just the initial price to get started" and the invitation to consider "long term expenses for ongoing support, maintenance and version upgrades". That argument is correct and it applies to us as well as to them. Otto's own pricing is published on our pricing page. Neither figure is a total cost of ownership, and a comparison that treats a starting subscription price as one is not a comparison. TODO: reconcile the pricing figures on our own pricing page before this page is cleared, because they are not currently consistent.

Where Otto is different, described as mechanism

Three differences, stated as what the software does rather than as what it achieves. Rules are evaluated before an action and can refuse it: a case cannot advance out of pre-litigation while the client's required media is missing or no attorney review is on file, and the refusal names the rule. The record is append-only and an export package is sealed with a SHA-256 computed over its contents, so an audit response is generated from the working record rather than assembled for the reviewer. And the client reads the same record directly through Glass instead of receiving a periodic summary. Whether that adds up to a better system for your firm depends on facts about your firm, and we are not in a position to assert it.

What we do not know about CollectMax

Their published pages do not describe a creditor-facing portal, an append-only audit record, on-device tokenisation before text reaches a language model, or workflow authoring in plain English — and their absence from a marketing page is not evidence of their absence from the product. We have not run CollectMax, we have not seen a current build, and we are not going to convert a missing bullet into a missing capability. If any of those matter to your evaluation, ask JST directly and hold the answer against what we have written here.
